Quantum Year Planning Step 2: Creating Tactics

February 06, 20257 min read

Introduction

Creating a Quantum Year plan is just the start; success comes from focused action. Break down goals into specific, prioritized steps for each week, day, or month.

Once we develop our Quantum Year, constant action is required for it to happen. The best way to monitor if the plan is being executed to achieve the desired results is by creating a weekly plan with tactics that align with our Quantum Year vision.  A weekly plan also has the following elements:

  • A weekly planning session where we can review the progress we made and plan tactics for the coming week.

  • A 5-minute planning session at the start of each day where we prioritize our work for the day and plan the day's activities.

  • A time plan to allocate where and when we undertake activities that are aligned with your strategies and priorities.

Your weekly plan keeps you on track, ensuring consistent progress toward your larger goal.

Create Your Plan

Tactics and goals example

At this stage, organize your goals and tactics into a simplified chart using the OKRs system. Instead of objectives and key results, we’ll use goals and tactics.

Start by aligning a goal with your vision and list 3-5 tactics to achieve it. Tactics should vary in difficulty:

  • 1-2 easy tactics

  • 1-2 medium tactics

  • 1-2 hard tactics

To consider it a success, aim to complete 75% of your tactics. Your plan isn’t just a to-do list; it’s a system to achieve meaningful goals. If you consistently hit over 90%, your goals may be too easy; if you’re under 75%, they may be too ambitious. Find the right balance for your plan.

The Quantum Year Plan's Competitive Advantage

Increases Clarity

One of the greatest benefits of a Quantum Year plan is that it provides clarity and structure.

"The main goal of creating a plan is to connect company, team, and personal objectives to measurable results, making people move together in the right direction."

These goals not only apply to your team but apply to the whole company. When you have a Quantum Year plan, it is clear what each team is trying to achieve and can be easily aligned to see if they meet the company goals and move in the right direction. Quantum Year planning is not something the team should know about alone. Everyone from the CEO to a team of interns should have their plans available for public viewing.

Increase Focus

One of the recommended practices is to visit your Quantum Year plan regularly. Next time you are working on a task or spending a lot of hours on a particular task, you can always look at your strategic plan and evaluate the time you are spending on that task. You can check if the task is bringing you closer to your goal or if it is one of the harder tactics compared to an easy one that is taking up most of your time.

Increase Collaboration

It is nearly impossible for you to achieve all your goals without any other team being involved. For example, if marketing needs to create a landing page, they need to collaborate with the web development team, or if the product team is working with new vendors, they need the legal team to look to make the contracts. These are just two examples of thousands of such collaborations that happen in an organization. Quantum Year plans can help understand each team's goals and see how your team can help them get closer to their goal and vice versa.

Make Great Commitments

To become highly productive, you must get better at keeping your promises, irrespective of whether those promises are made to yourself or others. High performers do not become that way by accident. They aggressively and purposefully pull out all the stops to make it happen. To pull off a Quantum Year, you will need to do the same.

how to review your teams as well as your own tactics

The key to being more productive is being fully committed:

  • Have a clear reason as to why you want to produce results.

  • Understand the main actions that you require to generate the results you want.

  • Count the costs be willing to make the requisite sacrifices.

  • Follow through and act on your commitments, not your feelings of the moment.

Be Clutch

Kobe Bryant exemplifying leadership

Great athletes like Tom Brady, Michael Jordan, and Serena Williams excel in high-pressure moments, not just because of their skills but because they perform at their best when it matters most. This ability comes from practice, mental fortitude, and perseverance when things aren’t going as planned. Similarly, by dedicating ourselves to focused repetition, we can also perform "clutch" in critical moments.

"I had to organize things. So I created the 'Black Mamba'. So Kobe has to deal with these issues, all the personal challenges. The Black Mamba steps on the court and does what he does. I'm destroying everybody that steps on the court." - Kobe Bryant

Time Management

If you're not in control of your time, you're not in control of your results. To achieve more, you must be intentional with how you allocate your time. Many people struggle with time management due to a lack of proper prioritization. As Peter Turla says, "Managing your time without setting priorities is like shooting randomly and calling whatever you hit the target."

A study found that 28% of professionals' time is wasted on interruptions. By minimizing these and focusing on your strengths, you can dramatically boost productivity. Successful people leverage their strengths and spend less time on weaknesses, leading to better results.

How Do We Do That?

Set aside 15 minutes each week to review the past week, plan the upcoming one, and report to peers. Block 3 hours for strategic work on business growth, scheduling it during low workload times for clear thinking. Allocate 30 minutes to 1 hour for buffer tasks like emails and calls that don’t drive growth. Dedicate another 3-hour block to relax, explore hobbies, and prevent burnout. All these blocks should be planned in writing to ensure success. Prioritize important activities and focus on real productivity, not just busy work.

Seek Intentional Imbalances

Many people try to seek a balanced life, but the reality is you should not spend an equal amount of time on all the tasks in your life. The key to achieving productivity is to be mindful of where and how we spend our time, energy, and effort.

"Balance is not better time management but better boundary management. Balance means making choices and enjoying those choices." – Betsy Jacobson, Business Consultant

The best way forward is to intentionally create some imbalances. Every time you start a new quarter; it is best to focus on a few key areas in life and make significant improvements in those areas.

Dopamine Effect

Dopamine, the "feel-good" neurotransmitter, is released when we experience pleasure or satisfaction. You can trigger this release by setting small goals, like organizing your desk. This is why to-do lists are so effective—crossing off tasks gives you a dopamine boost. Breaking large goals into smaller, achievable steps creates a cycle where your brain craves the next task to get another dopamine hit. This is also why activities like gambling can become addictive.

 Mindfulness and The Quantum Year

Mindfulness, a tool that enhances mental clarity and focus, is key for your Quantum Year. It helps you stay present, reducing stress and increasing engagement. Our minds often drift to the past or future, but mindfulness trains us to stay in the moment, improving focus and lowering stress—crucial for following through with your plan.

Here are four steps that will help you start your mindfulness journey:

1. Stop what you are doing and take a deep breath.

2. Put down your phone when you are trying to concentrate.

3. Do one thing at a time.

4. Look at things you already do that help you feel centered and use that to be mindful.

Conclusion

The power of the Quantum Year lies in execution, turning well-crafted goals into tangible results through intentional tactics and structured time management. By committing to strategic planning, staying adaptable, and holding yourself accountable, you create a system that drives consistent progress in both the short and long term to be successful in your career.
